Planningp3 spa, Tax ID (RUT) 78.008.934-2, located at Sotero del Río 508, Chile (hereinafter "PlanningP3", "we" or "our"), is responsible for the processing of personal data you provide through our mobile application PlanningP3 Forms.
1. Data We Collect
Through the PlanningP3 Forms mobile application, we collect the following types of information:
Contact Information
Full name: provided by your employer or administrator for identification on the platform.
Email address: used as login credentials and for platform notifications. Additionally, a verified personal email is required for the Simple Electronic Signature (FES) system.
Phone number: may be recorded as contact information in forms or user profiles.
Location Data
Precise location (GPS): coordinates when completing forms, for traceability and regulatory compliance.
Approximate location: for geolocation features in forms and electronic signatures.
User Content
Form data: text, selections, digital signatures, and any information entered when completing assigned forms.
Photos and videos: images and videos captured as evidence in forms and support tickets, including annotations.
Audio data: audio recordings in forms that require it.
Emails and messages: comments on support tickets and communications within the platform.
PDF documents: documents uploaded for electronic signing within the ticket system.
Identifiers
User ID: unique identifier assigned to each account.
Device ID: technical device identifiers for session management and security.
Diagnostics
Crash data: technical error logs to maintain stability and fix application issues.
Sync data: offline sync queue status to ensure data integrity.
2. How We Use Your Data
All data collected is used exclusively for app functionality. Specifically:
Manage your account and authenticate your access.
Enable the creation, editing, and submission of dynamic forms.
Synchronize data between the device and our servers, including offline mode.
Generate reports and PDF documents for your company.
Manage support tickets: creation, assignment, comments, attachments, and collaborators.
Simple Electronic Signature (FES) of PDF documents in compliance with Chilean Law 19,799, including identity verification, QR code generation, and full traceability.
Management of Personal Protective Equipment (PPE) requests.
Send notifications related to pending forms, assigned tickets, or documents to sign.
Maintain stability and fix application errors.
We do not use your data for advertising, tracking, third-party analytics, or share it with data brokers.
3. Simple Electronic Signature (FES)
The application includes a Simple Electronic Signature system in compliance with Chilean Law 19,799. Additional data is collected for the legal validity of signatures:
Verified personal email: for sending verification codes.
Handwritten signature image: drawn by the user to stamp on documents.
Signature PIN: stored securely (hashed) for authentication.
IP address and User-Agent: for traceability as required by Chilean labor regulations.
Geolocation: coordinates at the time of signing.
SHA-256 document hash: to verify the integrity of signed documents.
Each signed document generates a unique QR verification code that allows public verification of the signature's authenticity.
4. Data Storage and Security
Your data is stored on secure Microsoft Azure servers. We implement technical and organizational security measures, including:
Encryption in transit (HTTPS/TLS) for all communications.
JWT token-based authentication with automatic renewal.
Local device storage via SQLite for offline functionality.
Role-based access control according to company permissions.
Signed document storage on Amazon S3 with controlled access.
Signature PIN hashing (not stored in plain text).
5. Data Sharing
We do not sell or share your personal data with third parties for advertising or tracking. Data is shared only with:
Your employer/company: form data, tickets, and signed documents are accessible to your organization's administrators.
Infrastructure providers: Microsoft Azure (hosting and database), Amazon Web Services (file and signed document storage).
Email services: Azure Communication Services and Resend for sending notifications and verification codes.
Public signature verification: basic signature data (signer name, company, date) is publicly accessible through QR verification codes, in compliance with Law 19,799.
Labor authority (Dirección del Trabajo): electronic signature audit reports may be shared during inspections as required by regulations.
Legal requirements: when required by law or competent authority.
6. Data Retention
We retain your data as long as your account is active and according to the terms agreed with your company. Form data and signed documents are retained according to retention policies configured by each organization. Electronic signature records are kept for the legally required period for their validity.
7. Your Rights
In accordance with Chilean legislation (Law 19,628 on Privacy Protection), you have the right to:
Access your personal data.
Request the correction of inaccurate data.
Request the deletion of your data.
Object to the processing of your data.
Note: Deletion of data related to electronic signatures may be subject to legal restrictions to maintain the traceability required by regulations.
The PlanningP3 Forms mobile application requests the following device permissions:
Camera: to capture photographs and videos as evidence in forms and tickets.
Photo library: to select existing images and videos.
Location: to record coordinates when completing forms and signing documents.
Microphone: for audio recordings in forms that require it.
Notifications: for alerts about pending forms, assigned tickets, and documents to sign.
File access: to select PDF documents for electronic signing.
Each permission is requested at the time of use and can be revoked from the device settings.
9. Tracking and Analytics
We do not track users. We do not use third-party analytics tools such as Google Analytics, Firebase Analytics, Facebook SDK, or similar. We do not share data with advertising networks or data brokers.
10. Changes to this Policy
We reserve the right to modify this policy. Any changes will be notified through the application or by email.
